Ekinox is an interdisciplinary clinic with over 30 physical and mental health professionals offering services in physiotherapy, occupational therapy, osteopathy, massage therapy, psychology and more.

Information collected may include, but is not limited to: full name, address, telephone number, email address, medical history, etc.
Personal information collected non-automatically on our website
Information collected non-automatically on our website is collected voluntarily when you send us online forms to communicate with us (contact form), to send us your application for a job offer (application form) or to subscribe to our newsletter via the home page.
When you communicate with us using these forms, you must provide us with the following information: your name, email address and write your message in the space provided. Our staff treat these emails with the same level of confidentiality as paper correspondence.
Personal information collected automatically on our website
When you visit our site, we can automatically collect and save the following information:
- Your IP address
- Location
- Hardware and software details
- Pages you visit
- Date and time you access those pages
- Links clicked on while using the site
- Content viewed on the site
- Address of the referring site if you are accessing this site from another website
- Identification of your Internet service provider
Most of the information collected automatically does not identify you. It is collected only because of the technological requirements inherent in Internet browsing.
How is my information used?
Management and execution of our services
In general, we use your information to:
- Manage our business and perform our services as agreed;
- Billing and administration (statements, invoices, reminders and payments);
- Non-advertising communication (calls, emails, appointment confirmations and reminders). You can choose your means of contact on your first visit and change your consent at any time by contacting us;
- Respond to your requests regarding your file;
- Manage and personalize our website according to your preferences and to provide you with the services you book through it.
Our professional emails are hosted on Microsoft Office servers located in Canada.
As part of the services offered by our suppliers and for promotional purposes
We may collaborate with external service providers or agents in order to offer superior service, ensure proper administration of our services or respond to your requests. Before transmitting any information to them, these suppliers or agents must agree to comply with privacy legislation, are bound by a confidentiality agreement and must use the information provided only in connection with services intended for Ekinox.
If a service provider wishes to request additional information directly from you and you consent to provide such information, the external provider’s privacy policy applies to such communication.
Your personal data is stored on our Medexa clinical software, a Quebec company hosting your data in Quebec. We use it to manage client files, schedules, billing and communications.
When you access your physiotherapy exercises, your data is shared with our Physiotec exercise software, accessible through our clinical management software. Physiotec develops, supplies and maintains the physiotherapy exercise software and hosts the exercise data, including your personal data, in Canada. Physiotec cannot process your data without our authorization.
- Newsletter and satisfaction surveys
We may occasionally use your personal data to send you our newsletter by email via Cyberimpact, a Montreal-based company whose servers are located in Quebec. You can change your consent at any time by unsubscribing or informing us that you no longer wish to receive these newsletters.
We also use your data to send you satisfaction surveys via our third-party supplier, InputKit, a Quebec company whose servers are hosted in Canada. You can change your consent at any time by unsubscribing or informing us that you no longer wish to receive these surveys.
- Use of Google Analytics
Ekinox uses Google Analytics, a web analytics tool, on this site. Google Analytics uses cookies to collect information about your use of this website, which is stored on servers located in the United States. Google may share this information with third parties if required to do so by law or if the third parties process the data on Google’s behalf.
The information collected by the tool includes, for example, the pages you visit, the date, time, duration and frequency of your visits and the links you click on. The type and language of your computer’s operating system, the name of your Internet service provider and your geographic location (region) are also collected. Your IP address is collected, but it is anonymized (truncated) to ensure the privacy of your information. Anonymizing an IP address prevents the identity of an Internet user from being known through this address.
Google only uses the information collected to produce statistics and reports on the navigation of this site, which allows the Ministry of Labour, Employment and Social Solidarity to improve the provision of its electronic service. Google will not link the information collected on this site with any other data it saves.
You can prevent Google from recording information about your navigation by installing the Google Analytics deactivation browser add-on on your computer if you wish.

How do we protect your data?
We take rigorous technological, organizational and physical precautions to protect personal information in our possession from unauthorized use, access, disclosure, dissemination, loss or modification. This information will be accessible only to those employees and authorized third parties who need it to properly perform their duties, and access will be limited to information strictly necessary to perform those duties, with the same restrictions applying to our third-party service providers.
Physical documents are stored in a separate room or filing cabinet, locked and accessible only to authorized personnel. Personal information held electronically is accessible via an independent password for authorized users.
While we take all reasonable precautions to ensure that our user data is secure and that users are protected, there is always a risk of harm. The Internet as a whole can be, at times, unsafe and we are therefore unable to guarantee the security of user data beyond what is reasonably practical.
The personal information you send us by email is strictly used to process your request and will only be communicated to the person concerned if you request directly.
How long do we keep your personal information?
Personal information collected for any purpose is retained only as long as necessary for the fulfillment of that purpose. To comply with the Ordre professionnel de la physiothérapie du Québec (OPPQ) and government requests, your personal information may be kept for 6 years, following the closing of your clinic file. Thereafter, your personal information is destroyed either physically or electronically.
Your rights as a client or employee
As a client or employee and in accordance with section 27 of the Act respecting the protection of personal information in the private sector, you have the right to request access to all your personal information (hereinafter, PI) held about you by our company. Personal information means any information that directly or indirectly identifies you.
To do so, please complete the following form and send it to our Privacy Officer.
Under the new version of section 28 of the Act respecting the protection of personal information in the private sector, which came into effect in September 2023, you have the right to request rectification of any PI collected, stored, consulted or communicated about you by our company.
To do so, you must complete the following form and send it to our Privacy Officer.
Under the new version of section 28.1 of the Act respecting the protection of personal information in the private sector, which came into effect in September 2023, you have the right to request that all PI made publicly accessible on the web about you by our company be de-indexed.

In compliance with the Act respecting the protection of personal information in the private sector, our company appoints Maxime Besner as Privacy Officer.
As Privacy Officer, Maxime Besner will ensure that best practices in personal information management are always in effect within our company.
It is also in his capacity as Privacy Officer that Maxime Besner will receive and honor all requests for access, rectification or de-indexation of personal information from a client or employee of our company.
